How to set up Project Progress mapping for Azure DevOps connection

PPM Express uses default settings to calculate the Azure DevOps work items and display project progress. These settings can be changed and the work items for the project progress calculation can be selected as needed. 

The Project Progress settings identify which work item types will be considered when calculating the total number of items and the number of completed items in the project (or its part) synchronized from Azure DevOps. This value is displayed under the Azure DevOps icon of the Summary project section (completed items/total number of items). 

PPM Express – Azure DevOps project progress calculation prerequisites and limitations:

1. By default, project progress is calculated by User Stories for projects created under the Agile process and by Tasks for projects created under Basic, Scrum, and CMMI processes.

2. By default, all Azure DevOps states existing under a certain category are mapped to PPM Express states in the following way:

  • Proposed – 0%
  • In Progress, Resolved – 50%
  • Completed – 100%

3. Project Progress mapping is applied to Progress in the Summary section, and Work Details view in the Cards data representation.

4. Progress mapping is applied per project/epic within one Azure DevOps process

5. Several work item types can be selected for progress calculation.

6. States created under the Removed category cannot be selected for mapping.

7. Hidden work items will not be included in the state mapping

8. Work item states not selected for any category will not be included in the calculation and will be ignored in Power BI reports.

To select the items for Project Progress calculation, perform the following:  

1. Navigate to Configure Connections menu of the linked/imported project.

2. Use the Configure connection button to open the Configure connection menu.

3. select the work items included in the Project Progress calculation on the Project Progress tab. 

When the items are selected here, it is possible to set the custom rules for the Progress field calculation for each item. It is also possible to calculate the Project Progress by considering the states instead of the categories (State field from Azure DevOps instead of State Category).

There are three options available for progress calculation when the items are selected:

  • Elements count
  • Sum of Story Points
  • Sum of Efforts

For the Sum of Story Points and Sum of Effort calculation, the progress will look like a ratio of the number of Story Points/Effort in issues marked as Closed to the total number of the Story Points/Effort in all issues.

Field mapping is configured for the 'Story Points' and 'Effort' PPM Express fields to be used in the Project Progress calculation. 

Please note: The Completed value should always equal 100%.
