    How to Save and Apply Layouts

    PPM Express provides an ability to save and later apply a layout of Project Dashboard, Portfolio Dashboard, Business Challenges, Ideas, and Resource Dashboard. 

    PPM Express users can configure Project Dashboard, Portfolio Dashboard, Business Challenges, Ideas, and Resource Dashboard sections by hiding existing sections or adding new ones. 

    Most of the sections included in Project, Portfolio, Business Challenges, Ideas, and Resource Dashboards can also be configured. It is possible to hide default fields and add new custom fields for the sections. Users can also change the position of the columns in the sections. 

    In most scenarios, users would like to have the same configuration of Project, Portfolio, Business Challenges, Ideas, and Resource Dashboards across their projects and portfolios, etc.. To avoid manual work and save time on the configuration of these pages PPM Express allows creating default layouts that can be later applied to Project, Portfolio, Business Challenges, Ideas, and Resource Dashboards. 

    You can create as many layouts as you need and select a default one. The default layout will be applied by default to all newly created projects, tasks, portfolios, etc.. Other layouts can be applied per project, portfolio, resources, etc. Dashboards.


    Required Permissions to Save and Apply Layout

    To be able to Save Layout and Apply Layouts PPM Express users should have corresponding permissions.

    PPM Express users permissions are managed via the People Management section. 

    1) Users with  'Manage Configuration' rights can: 

    • Create and Save a New Layouts; 
    • Apply Layouts. 

    'Manage Configuration' checkbox is ON by default for the user who registered PPM Express tenant.

    For the rest of PPM Express users, this setting is OFF by default and can be turned on by PPM Express administrator in the People Management section.

    Please note: We recommend checking the 'Manage Configuration' checkbox only for users with 'Administrate app' rights (users who manage PPM Express tenant).

    2) Users with Edit rights for 'Portfolio' and 'Project' can: 

    • Apply Layouts. 

    Users with Edit rights can use the Apply Layouts option only in Portfolios and Projects they have permissions to edit (according to People Management settings). 

    3) Users with View All rights only cannot Save or Apply Layouts. 


    We will review Project Dashboard layouts as an example, but the steps to save and apply the layouts are the same for other pages. 

    Project Dashboard Page Layout

    As you finish configuring Project Dashboard and its sections, you can save this configuration as a Default Layout or as usual layout. 

    To save the Project Dashboard configuration as a Layout, open Project Dashboard, click Configure sections button on the Summary section. Select the Layouts option => Create button. 

    Type in the name for the layout, decide if it will be a default layout or not, and click the Submit button. 

    If you save a Layout as Default, it will be automatically applied to newly created projects. 

    As the layout is saved, you can select to apply it to your projects, update it, edit or remove it. 

    Please note: Default layouts can not be deleted. 

    Please note: If you change the default layout, in the existing projects, the layout will not be changed to a new one automatically. If you would like to change the layout to the new one for all projects, it can be done in a bulk via Projects page => table view => bulk edit. 

    To apply a Layout to an existing project, open Project Dashboard of the required project and click Configure sections button => Layouts section. 

    Select the required layout and click the Apply option. 

    To apply a Layout to a group of projects in a bulk, open Projects Page, select Configurable table view.

    Select the projects you would like to apply a Layout to. Click the Layouts button. 

    Select the required layout and click Apply.

    Please note: Layouts will not be applied to the following Project Dashboard sections:  

    Iterations section - this section displays iterations synchronized from external systems (applies to Azure DevOps and Jira connections). If iterations are synchronized from Jira or Azure DevOps, the columns in the Iterations section will be determined by these external systems, not by a Layout. 

    Teams section -  this section is non-editable. Data for this section is retrieved from the source project during synchronization. 

    Schedule section - this section is non-editable. Data for this section is retrieved from the source project during synchronization.

    Budget section – this section uses the FluentPro Financials app allowing to edit Portfolio budget. Viewing or editing budgets can only be done by the users, who have Manage budgets permission enabled in their account settings.


    Please note: Layouts will not be applied to the following Portfolio Dashboard sections:
