A couple of months ago, we introduced our Process Management module and even more improvements are on the way. Two major updates are planned for release by the end of Q2 2025.
In this article we will discuss the upcoming changes and required actions.
1. Transition from the Progress Field to the Project State Field
Currently, both the Progress and Project State fields are available, and you can continue using either or both for now. However, we plan to fully replace the Progress field within the next 3 months.
You can find both fields in the Details section of the Project Dashboard:
• Progress – Manually editable. Users can set any Progress value, regardless of the actual state of the project.
• Project State – Read-only and automatically set based on the current Project Stage. The Project State corresponds directly to the current stage of the project. Both the Project State and Project Stage values are automatically updated whenever the project moves to a different stage or is canceled, suspended, or closed.
Both fields offer almost identical status options, with one minor naming difference:
- Not Started
- In Progress
- Completed
- Canceled
- On Hold (Progress field) vs. Suspended (Project State field)
We recommend reviewing your current workflows and configurations to ensure a smooth transition.
Please note: If you use the Progress field in your custom reports, please make sure to transition to the new Project State field.
Reports created by PPM Express, available on our Help Site and the Reporting page, will be updated from our side as soon as the mentioned changes take place.
2. Legacy Project Process Becomes a Standard Process
If your tenant was created before the introduction of Process Management, you likely have access to a Legacy Project Process, in addition to the set of standard processes. This legacy process includes the stages previously used for your projects.
Until now, the Legacy Project Process has remained editable, even when applied to active projects. As part of this upcoming update, it will be converted into a standard process.
After this change, the Legacy Project Process will no longer be editable if it is applied to at least one project.
Please note: Please make sure to review and adjust the stages in the Legacy Project Process as needed before this change takes effect.
