Project Attachments in PPM Express

In this article, we will review project attachments.

The Attachments feature allows users to store and manage files and links directly within a project. This helps centralize project-related documents and provides quick access to important resources.


Attachments Overview

Attachments are available for all tenants and subscription plans and do not require any additional configuration.

Currently, attachments are available only at the project level. 

Users can add:

  • Files from their computer
  • Links to external resources (e.g., OneDrive, SharePoint, Google Drive, Dropbox)

Attachments can be added from three locations within a project:

  • Attachments project section (using the 'Add Link' or 'Upload from Computer' options)

  • Attachments icon in the project header (visible after at least one attachment is added). You can choose to show only pinned attachments here. 

  • Project menu (ellipsis button in the project header) -> New Attachment -> 'Add Link' or 'Upload from Computer'.

Delete

Note: Attachments are preserved when a project is archived. However, they are not copied when cloning a project. 


Attachments Section

The Attachments section is not added to the views by default; it can be added manually when needed. It displays all files and links added to the project.

To add a link, click the Add Link button. 

It is required to provide the Name and URL. Optionally, you can add Description and Tags. 

Click Create Link to add the link attachment. 

When added, links open on click on their title in a new browser tab.

To upload a file from a computer, click the corresponding button. 

Locate the necessary file on your computer and click Open. Max file size is 25 MB per file. 

Users can upload one or multiple files directly to the project. Drag & drop is also supported. 

The attachments section supports sorting, filtering, and column configuration. It displays key fields such as:

  • Title
  • Pinned status
  • Added On / Added By
  • Tags
  • Description

Additional fields (e.g., File Size, Type, Last Modified) can be added via Configure Columns.


Working with Attachments

Files open and download behavior: 

  • Links open in a new tab on click on their title
  • Images and PDFs are previewed in the browser.
  • Other files are downloaded.

To edit the file's Name, Tags, and Description, use the inline edit. For full updates, use the Edit panel from the ellipsis button next to each file. 

Users can delete files individually or in bulk. After a file is deleted, storage usage is updated automatically.

When uploading or creating attachments with the same name, there are two options available:

  • Replace: overwrites existing attachment (keeps its metadata in case the second file with the same name is uploaded, like a new version upload)
  • Keep Both: creates a copy with a suffix (_1, _2, etc.)

Attachments must have unique names (even across types).

The Attachments icon in the project header shows the total number of attachments. It opens a list of up to 10 recent items. A Pinned Only toggle is available to show only recent pinned attachments in the list, and its state is saved per user.

Permissions

  • Users with Edit permission for the project can add, edit, delete, and pin attachments.
  • Users with View/Collaborate permission for the project can view and download only.
Delete

Note: The Attachments section can be hidden from users via Views or Layouts. However, the Recent Attachments menu in the project header is always visible to users with access to the project. Please consider managing access at the file level or via external link sharing.


Storage and Limits

Storage is defined per subscription plan:

  • Enterprise: 50 GB.
  • Enterprise Ultra: 100 GB.
  • If more storage is needed, please contact our Sales Team. 

Only uploaded files count toward storage (not links). When storage usage reaches 95%, a warning is displayed, but the file upload is not blocked till 100% is used. If the files are deleted, the storage updates automatically.

In addition, an Images section is available for Projects, allowing users to display image attachments in a gallery format. It includes only image-type files (.jpg, .jpeg, .png, .gif, .webp) that are already uploaded to the Attachments section. 

Users can select several images at once. Images are shown in the order they are selected.

The Images section is directly linked to Attachments:

  • Removing an image from Attachments removes it from the Images section.
  • Renaming an image automatically updates it in the section.
  • Removing an image from the section does not delete it from Attachments.

You can adjust Content Height (default: 600 px). Please note that large images may load more slowly.

Images are preserved when a project is archived, but are not copied when cloning a project.

By default, the Image section is not included in the views. To be able to configure or edit the section configuration in custom Views, the user must have 'Manage Configuration' permission. Edit permission in the project is not required. To be able to configure or edit the section configuration in the Default View, the user should be the Project Manager ('Manage Configuration' permission is not required in that case) or be the admin.

When using custom views, the Images section configuration is shared across projects. This means images selected in one project may overwrite those in another, and only one project can display images at a time in the same view. To avoid this, we recommend configuring the Images section in the Default view, where it works independently for each project.
