PPM Express Financials report pack

PPM Express provides a Financial report pack. 

PPM Express Financial report pack offers tools to analyze financial metrics of PPM Express entities: Portfolios, Programs, and Projects.

Reports for each entity type are structured in the following way: 

- Sections for analyzing a set of entities:

- Sections to analyze a specific entity:

Portfolio Financial Details, Program Financial Details, and Project Financial Details reports are designed to work with a specific portfolio/program/project.

There are two ways to select a portfolio/program/project:

- Go directly to the report and use the Filters panel. 

- Go to the desired report from another report using the 'Drill through' option.


Analyzed metrics

Some metrics are common to all reports:

  • Budget. The application UI represents this value by a field in the Details and/or Budget section.
  • Forecast, Baseline, Actual. This is time-phased data distributed by day in the Budget section.
  • Forecast Variance. It is calculated by the formula: Forecast - Baseline.
  • Actual Variance. Calculated by the formula: Actual - Baseline.
  • Remaining. Calculated by the formula: Forecast - Actual.

Metrics specific to a particular report will be described below along with the report.


Filter Features

All reports have a YEAR slicer:

Slicers are synchronized so that changing the values of this filter occurs simultaneously for all similar slicers of other reports.

The default value in the slicer is the current year.

This filter affects the values of time-phased metrics. The Budget value is not affected by the filter because the Budget is not represented by time-phased data.


Delete

Note: In the main view of the Portfolio Financials and Project Financials reports, the filter sets of the Filters panel are different and independent, and the filter values are not shared between these pages. Therefore, when switching between these views, you should ensure the filter values are selected correctly. 



Portfolio Financials report

Portfolio Financials report has three main views: Portfolio Budget, Program and Project Budget Rollup, and Project Budget Rollup. 

Portfolio Budget view

The subject of analysis: budget portfolio metrics.

Program and Project Budget Rollup view

The subject of analysis:

  • Budget metrics of projects included in Portfolios directly
  • Budget metrics of programs included in Portfolios

The expended table hierarchy shows these components:

Project Budget Rollup view

Subject of analysis: budget metrics of projects included in Portfolios both directly and through the program. 

Each of the views described above offers two views: grouped by period and non-periodized.


Program Financials report

Program Financials report has two main views: Program Budget and Project Budget Rollup.

Program Budget view

The subject of analysis: program budget metrics.

Project Budget Rollup view

The subject of analysis: budget metrics of projects included in Programs.

Each of these views offers two views: grouped by period and non-periodized.


Project Financials report 

Project Financials report has four main views: Project Budget and Project Resource Plan, Project Schedule Cost, and Project Schedule Charge.

Project Budget view

The subject of analysis: project budget metrics.

Project Resource Plan view

The subject of the analysis is the following metrics:

  • Estimated Cost = [Resource Plan Planned Committed Hours] * [Resource Standard Cost]
  • Actual Cost = [Resource Plan Actual Committed Hours] * [Resource Standard Cost]
  • Cost Variance = [Actual Cost] – [Estimated Cost]
  • Estimated Charge = [Resource Plan Planned Committed Hours] * IF( [Charge Rate] = 0, THEN [Resource Standard Rate], ELSE [Charge Rate])
  • Actual Charge = [Resource Plan Actual Committed Hours] * IF( [Charge Rate] = 0, THEN [Resource Standard Rate], ELSE [Charge Rate])
  • Charge Variance = [Actual Charge] – [Estimated Charge]

Project Schedule Cost view

Report scope: assigned tasks with dates.

The subject of the analysis is the following metrics:

  • Baseline Cost = [Baseline Effort] * [Resource Standard Cost]
  • Estimated Cost = [Effort] * [Resource Standard Cost]
  • Actual Cost = [Completed Work] * [Resource Standard Cost]
  • Remaining Cost = [Remaining Work] * [Resource Standard Cost]
  • Cost Variance = [Estimated Cost] – [Baseline Cost]

Baseline Effort is the time-phased data generated by decomposing the value of the Baseline Effort task field in proportion between the task assignees on each task date.

Effort is the time-phased data generated by decomposing the value of the Effort task field proportionally between the task assignees on each task date.

Completed Work is time-phased data generated by decomposing the value of the Completed Work task field proportionally between task assignees on each task date.

Remaining Work is time-phased data generated by decomposing the value of the Remaining Work task field proportionally between the task assignees on each task date.

Project Schedule Charge view

Report scope: assigned tasks with dates.

The subject of the analysis is the following metrics:

  • Estimated Cost = [Effort] * [Resource Standard Cost]
  • Actual Cost = [Completed Work] * [Resource Standard Cost]
  • Estimated Charge = [Effort] * IF([Charge Rate] = 0, THEN [Resource Standard Rate], ELSE [Charge Rate])
  • Actual Charge = [Completed Work] * IF([Charge Rate] = 0, THEN [Resource Standard Rate], ELSE [Charge Rate])
  • Estimated Margin = [Estimated Charge] – [Estimated Cost]
  • Estimated Margin Rate = ( [Estimated Charge] / [Estimated Cost] ) * 100%

Effort is the time-phased data generated by decomposing the value of the Effort task field proportionally between the task assignees on each task date.

Completed Work is time-phased data generated by decomposing the value of the Completed Work field proportional between the task assignees on each task date.

Charge Rate is a rate that can be set for a resource assigned to a project in the resource plan.


Invoices and Purchase Orders reports

The structure of these two reports is almost identical.

Data on the composition of Invoices / Purchase Orders is presented in a tabular format.

The 'Displayed Columns' slicer controls the columns shown on the table. 

It is possible to group data in the table using the 'Group By' option. 

After selecting the desired grouping, the table will reorganize, and the row groups will be collapsed. To work with the data, you can expand the groups individually or all at once using the appropriate controls.

The charts at the top of the report serve as a summary of the data presented in the table.
