Add Tasks and Assign Resources

Tasks are the foundation of any project, helping you break work into manageable steps. In PPM Express, tasks can be grouped and customized to fit your workflow. Let’s walk through the key features of task management and see how to assign Resources to Tasks.

Creating a Task and Assigning Resources

Open your Project and click the View Tasks icon in the upper right corner of the Project Dashboard.

Click New Task and enter the essential details:

  • Task Name & Description
  • Start Date, Due Date, and Duration (these fields are interconnected, so changes to one will adjust the others).
  • Priority & Status (statuses update automatically based on progress and due dates).
  • Is Milestone? (if enabled, the task appears as a Key Date on the Project Dashboard).
  • Assigning Tasks to Resources — Assigning tasks allows users to report time spent on their work (choose a resource from active team members).
When users are added to PPM Express, Resources are created and linked automatically for each user. For more details, please refer to the "How to invite users to PPM Express" article.
It is also possible to add Resources to PPM Express manually (Generic Resources) and assign them to tasks.

Click Create Task  — your task is now added to the Project Tasks page.

In the My Assignments section, users can review information on their tasks. All the numbers are clickable and will filter data in the table below accordingly.

Quick Tip: You can edit tasks inline directly on the Project Tasks page for convenience.

PPM Express allows grouping your tasks to stay organized. By default, new tasks are placed in the Backlog group. To keep things structured, you can organize them into custom groups based on phases, work types, or departments.

Now that your tasks are set up, it’s time to see the Time Tracking functionality! For more details, check out How to Track Time on Tasks.
