Once the tasks are created and Resources are assigned for Tasks, Team members can log work hours on assigned tasks via the "My Time" page.
Time reporting in PPM Express is a streamlined process that allows users to track their work hours efficiently. Whether logging time on assigned tasks, adding custom entries, or reporting administrative time, the platform provides flexible options to ensure accurate tracking.
Smart Suggestions for Efficient Time Tracking
PPM Express includes a Smart Suggestions feature that helps users by automatically populating the timesheet with assigned tasks. Users can enable or disable Smart Suggestions on the My Time page, but this feature is only available if activated by the Administrator in the Time Tracking Settings.
If Assignment-Based Smart Suggestions is enabled, tasks assigned to a user in both PPM Express Projects and External Projects will automatically appear in the timesheet when their start, end, or overlap dates match the selected reporting period. If this feature is disabled, users must manually add tasks using the Import Tasks option.
Where to Report Time
Users can report time from multiple locations within PPM Express:
My Time Page (Main time reporting page)
Project Tasks Page (Quick reporting on assigned tasks)
My Space Page (Another quick option for reporting time)
Additional Time Reporting Options
Besides logging time on assigned tasks, users can:
Import Tasks from accessible projects.
Add Administrative Time Entries for non-project activities (e.g., vacation, sick leave).
Add Custom Time Entries for work related to a project but not defined as a task within it.
Entering and Editing Time Entries
Users can enter time directly in the timesheet grid by clicking a date cell and typing in hours. More detailed editing is available by selecting Edit Time Entry, where users can add descriptions, define cost types, or mark time as billable.
Time is recorded in hours and minutes (00h 00m).
Minimum time reporting is defined in the Time Tracking Settings by PPM Express Administrators.
Reported time is rounded based on Time Reporting Increment settings defined by PPM Express Administrators.
Tasks can be cloned to multiple days or copied to the next timesheet period.
All reported time data is synchronized across the system. Time logged directly in a task will be reflected on the Timesheet, while time reported through the Timesheet (My Time page) will be pulled into the Completed Work field within the task.
Reviewing and Managing Reported Time
The Total Reported Line displays daily reported hours against expected hours based on resource capacity. If reported time exceeds expected hours, the system highlights the excess in red. Users can also review total hours per period under the Total Reported Column.
By following these steps, users can efficiently manage time tracking in PPM Express, ensuring accurate project and resource planning. For more details, please refer to the Time Tracking articles.
Now, when the Resources report their time on the My Time page, Resource Managers can review submitted time entries on the Resources page. Follow the steps described in this article for more details.
